Solutions/Homestays

Homestay management software for owners with many units and no front desk

TingStay lets homestay owners run many units in different locations from a phone: guests let themselves in with a door code generated for their stay, the unit cools down before check-in, and cleaning is assigned as soon as the guest checks out.

What takes the most time

Bookings mixed across Zalo, Booking.com and Airbnb
Calendars are spread across several places, double bookings happen easily, and it is hard to tell which unit is free tonight.
Handing over keys late at night
Guests arrive late, so the owner has to wait up or leave the key with someone, with the risk of the key being copied.
Not knowing whether the guest has left
If the cleaner arrives early the guest is still there; if late, the unit is not ready for the next guest.
Unusually high electricity bills
Guests leave the AC running when they go out, and empty units still use power.
Guest registration before 23:00
With self check-in, nobody checks guest documents. Missing a single stay can mean a fine starting from 2 million VND.
Holiday rates changed by hand
Before every holiday and Tet, rates have to be edited unit by unit, which leads to missed changes and wrong prices.

In practice

One homestay stay, from booking to a cleaned unit

Example of a one-night stay. The front desk acts only at the first step; the system runs the rest.

  1. The evening before

    Guest books via Zalo

The front desk creates the stay in a few steps. The unit is held and cannot be double-booked with a Booking.com or Airbnb guest.

  2. 13:00

Door code sent to the guest

A code generated for this stay only, sent via Zalo with directions and instructions for opening the door.

  3. 13:30

    Unit cooled in advance

The TingEdge turns on power and the AC before check-in, so the unit is cool when the guest walks in.

  4. 14:10

    Guest lets themselves in

The first door opening is recorded and the stay switches to "In house". Nobody has to wait to hand over a key.

  5. 19:00

    Guest goes out for dinner

No one left in the unit: AC and lights switch off, the fridge socket stays powered.

  6. 12:00 next day

    Guest checks out

Door closed, nobody inside: the door code expires and cleaning is assigned to the cleaner responsible for the area.

  7. 13:30

    Cleaned, with photo proof

The unit switches to "Ready" and can take the next guest the same afternoon.

What each homestay unit needs

Getting started

From site survey to launch, measured in days

See hardware and costs
  1. Site survey

An engineer visits the unit and checks the existing electrical panel, air conditioners, door lock and power and water meters.

    1 day

  2. Design and quotation

Choose the kit, the panel layout and the positions of keypads and sensors. The quotation is based on the actual number of units.

    2 hours

  3. Installation

Mount the control enclosure, run the bus cable and wire the devices in step with the interior fit-out. Once the infrastructure is ready, one installation crew finishes each unit in no more than 1 day.

Up to 1 day per unit

  4. Configuration and testing

Register the unit on TingStay, load the scenes, test every device and the loss-of-internet case.

    Same day as installation

  5. Handover and training

Train the operations team on the Console and the apps, and hand over the device documentation.

    Half a day

Frequently asked questions

Which homestay management software works with smart door locks?

TingStay manages the stay calendar and issues smart lock codes for each stay; the code expires automatically when the guest checks out. In the first phase TingStay integrates with TTLock locks; other lock brands will be added.

Can a homestay with only a few units use TingStay?

Yes. The free Basic plan that comes with the TingEdge lets you manage units, issue door codes manually and control devices. When you need a stay calendar and automatic door codes, upgrade to Start.

Do guests who book via Zalo need to switch to another channel?

No. The front desk creates a stay for a Zalo guest in a few steps. For OTA bookings, the calendar syncs in with the Channel connections add-on, or the front desk enters them by hand like Zalo bookings.

Can I keep the door lock I already have?

Yes, if it is a TTLock lock. In the first phase TingStay integrates with TTLock; for other brands you need to replace the lock or wait for TingStay to add the integration.

Do the sensors record video of guests?

No. The presence sensor only detects whether someone is in the unit. The system has no cameras and records no audio inside the unit.

Does TingStay handle guest registration?

Yes, with the Guest registration add-on: guest details, documents and the actual check-in time come straight from the stay. Without this add-on, the front desk keeps registering guests as it does today, and TingStay stores the documents for later reference.

How are units with several bedrooms counted?

One main door lock and one TingEdge make one unit. A unit with several bedrooms still counts as one unit, for both hardware and software fees.

How much does each homestay unit cost?

Hardware in the suggested setup (Brand Kit) costs about 38.6 - 59.3 million VND per unit, paid once, including installation, excluding VAT, the door lock and the power and water meters. The Start plan software is 149,000 VND per unit per month, or 1,250,000 VND per unit per year when paid yearly.
