Serviced apartment management software for short stays and monthly leases in one system
TingStay is serviced apartment management software for operators running several buildings: one screen for the status of every unit, door codes and extra services per stay, automatic power and water metering, and books and profit and loss for each unit.
What takes the most time
- Many buildings, few staff on duty
- Each building has its own Zalo group, and managers cannot see the whole picture.
- Nightly and monthly rentals together
- Two ways of billing, two ways of handing over keys, easy to mix up.
- Extra services are hard to collect
- Breakfast, laundry and extra cleaning are written down by hand, and end-of-period reconciliation comes up short.
- No idea which unit is profitable
- Power and water, cleaning and OTA commission costs cannot be attributed to individual units.
- Breakdowns found too late
- The AC and water heater have no maintenance schedule and fail just when a guest is staying.
- Corporate guests need paperwork
- Business travellers and long-stay guests need clear invoices and receipts for each stay.
How TingStay handles it
Status board for every building
Occupied, to clean, cleaning, incident; filter by area and building.
Hourly, nightly and monthly rentals
Each unit has its own rental mode; monthly rentals come with a lease, deposit and billing cycle.
Extra services priced by area
Service prices are set per area, recorded on the stay and included in the bill.
Profit and loss per unit
Room and service revenue, plus power and water, cleaning and commission costs, allocated to each unit.
Staff by location
Staff in a building see only the units in that building; shifts and attendance are recorded at the unit.

In practice
A day for a manager running three buildings
Example of a serviced apartment operator with both short-stay guests and monthly tenants, and a small staff team in each building.
08:00
Check the status board
One screen for all three buildings: building A has 2 units to clean, building B has 1 incident, building C is fully occupied. Staff in each building already see their own tasks.
09:30
Monthly tenant extends the lease
Update the lease, and access extends automatically to the new end date. No need to change codes or meet the tenant.
11:00
Guest orders extra laundry
The service is recorded on the stay at the price for that area and is already on the bill when the guest checks out.
15:00
Door-open alert in building B
The building B technician picks up the task on the phone and closes the incident with a note once it is fixed.
18:00
Short-stay guest checks out
Cleaning is assigned automatically to staff in that building, with a checklist and photo proof.
End of month
Review profit and loss per unit
Room and service revenue, power and water, cleaning and commission are allocated to each unit. You can see which units need a price change.

Getting started
From site survey to launch, measured in days
Site survey
An engineer visits the unit and checks the existing electrical panel, air conditioners, door lock and power and water meters.
1 day
Design and quotation
Choose the kit, the panel layout and the positions of keypads and sensors. The quotation is based on the actual number of units.
2 hours
Installation
Mount the control enclosure, run the bus cable and wire the devices in step with the interior fit-out. Once the infrastructure is ready, one installation crew finishes each unit in no more than 1 day.
Up to 1 day per unit
Configuration and testing
Register the unit on TingStay, load the scenes, test every device and the loss-of-internet case.
Same day as installation
Handover and training

Frequently asked questions
What should serviced apartment management software include?
At minimum: a stay calendar that combines every channel (OTA sync through the Channel connections add-on), guest and monthly lease management, door codes, cleaning assignment, bills and receivables tracking. TingStay adds real data from the unit (door, occupancy, power and water) to stop leakage and calculate costs per unit.
Does TingStay do accounting or issue invoices?
TingStay records revenue, costs, deposits and receivables and exports figures for your accountant. E-invoicing is an add-on.
Can it manage several buildings and cities?
Yes. Units are grouped by area and building, and staff access is assigned by location. NEXT HOME engineers provide support in Hanoi, Hai Phong and Da Nang.
Can staff in one building see units in another?
No, if you assign access by location. Staff see only the units, tasks and alerts of the building assigned to them; managers see everything.
Can one unit be rented both nightly and monthly?
Yes. The rental mode is set per unit and can be changed when needed. Nightly units still record power and water for cost tracking; they just do not get a utility bill for the guest.
Can I keep the door lock I already have?
Yes, if it is a TTLock lock. In the first phase TingStay integrates with TTLock; for other brands you need to replace the lock or wait for TingStay to add the integration.
How much does each serviced apartment cost?
Hardware in the suggested setup (Brand Kit) costs about 38.6 - 59.3 million VND per unit, paid once, including installation, excluding VAT, the door lock and the power and water meters. The Pro plan software is 249,000 VND per unit per month, or 2,090,000 VND per unit per year when paid yearly.
